Terms and Conditions

1. Registration & Indemnity
All students must be registered by a parent or guardian via the official online portal at www.onewithwater.co.za. By registering-parents or guardians acknowledge and agree to the published indemnity, Terms, and Conditions available on the portal and may be revised annually. Indemnity forms must be re-signed annually. No exceptions will be made to these registration requirements.

2. Fees
All fees are billed and become due at the start of each month. Payment must be received prior to the commencement of the first lesson in the respective month. Failure to settle fees before the first scheduled lesson will result in the cancellation of lessons for that month. Fees are reviewed annually on 1st August.

3. Lesson Bundles
Lessons are sold in bundles of either 4 or 8 lessons, i.e. with sessions once or twice per week. Invoices will be prepared and delivered at the beginning of each month and are payable on receipt. Each bundle purchase is valid for one calendar month only. Consequently, in months with a 5th week, (4 per year) a student will receive 1 or 2 extra lessons at no charge. However, these extra lessons will be paid for in December and January, to accommodate the annual 52-week schedule. All bookings and subscriptions are managed via the portal at www.onewithwater.co.za. It is the responsibility of parents or guardians to ensure they have access to and review all scheduled lessons.

4. Lesson Bookings
A designated time slot and coach for each session will be allocated at the beginning of each month. Coaches are remunerated regardless of attendance. Cancellations or rescheduling requests must be made at least 24 hours in advance of the scheduled lesson. “No-shows” will be deemed as utilized sessions and will not be refunded or carried over. 
Make-up lessons may be arranged upon request in cases of illness, provided that the lessons are completed within the same calendar month.

5. Weather Policy
The swimming pool is indoors and heated, allowing lessons to proceed in most weather conditions. In the event of a lightning storm developing after lesson commencement, the coach on duty has the sole discretion to postpone sessions. No make-up lessons will be offered for weather-related postponements, but lessons may resume once the storm subsides if deemed safe by the coach on duty.

6. Operating Times
One with Water operates throughout the year, closing on public holidays, Easter weekend, and during a short period in December/January. Lessons that may have been scheduled on these days must be rescheduled at an alternative time.

7. Administrative Fees
An annual administrative fee of R300 per student is payable upon registration and each September thereafter. This fee contributes to administrative expenses and equipment maintenance.

8. Cancellation Policy
At the beginning of the month an invoice will be automatically generated. A minimum of 30 days' written notice is required to suspend the payment cycle. Children are presumed to continue lessons through winter unless notice is given. To avoid charges for the subsequent month(s), cancellations for winter must be communicated via email to andrea@poorter.co.za before April 1st. In the absence of such notice, a one-month notice fee applies.

9. Medical Conditions
Parents or guardians must inform One with Water in writing of any medical condition, illness, allergy, or health issue that may affect the student’s ability to participate in swimming.

10. Model Release & Photographs
Parents/guardians consent to the recording of photographs and videos of their child during lessons for use in marketing materials, including print, online, presentations, and social media. These materials remain the property of One with Water unless written objection is received to withdraw consent.

11. Pool Etiquette
Entry to the pool reception area is permitted only 10 minutes prior to scheduled sessions. Late arrivals for group lessons of more than 10 minutes will not be allowed and these lessons will be forfeited. Only security-cleared students may enter the pool area; parents/guardians are not permitted to enter the pool’s training zone during lessons unless authorized by the coach. Siblings and friends should refrain from entering the teaching zone or distracting participants or staff.

12. General
Staff are not responsible for students outside their scheduled lesson times or outside the pool room.
Parents/guardians must inform the school of any change in contact details, as this information is vital in emergencies.
The school reserves the right to amend or substitute coaches at its sole discretion; parent feedback is appreciated but not binding.
